Richland Academy (“Richland,” “the School,” “we,” “our”) is committed to protecting the privacy of its community members’ personal information. This Privacy Policy sets out, what personal information the School gathers, why we need it, who we share it with, how long we hold it, and the choices available to you. It applies to information collected through our website at
richlandacademy.ca, through our admissions and parent portals, and through the day-to-day operation of our programs on campus.

We handle personal information in a manner consistent with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), Canada’s Anti-Spam Legislation (CASL), and other privacy and record-keeping requirements that apply to independent schools operating in Ontario.

Who This Policy Covers
Richland collects information about a wide range of people connected to the School. This policy applies to:

  • Prospective families who inquire about admission, register for a tour, or submit an application

  • Enrolled students and their parents, guardians and emergency contacts

  • Alumni and alumni families

  • Applicants for employment, current faculty and staff, and former employees

  • Volunteers, parent ambassadors and members of School committees

  • Donors and supporters of the School

  • Contractors, suppliers and service providers

  • Visitors to our campus, our website and our social media channels

  • Participants in camps, co-curricular programs and before/after care

Not every category of information described below is collected about every person. What we hold depends entirely on your relationship with the School and what that relationship requires.

What Personal Information We Collect
Depending on the relationship, the School may collect:

Identity and contact details — legal and preferred name, date and place of birth, home address, phone numbers, email addresses, citizenship or immigration status where relevant to enrolment, and the names and contact details of parents, guardians and emergency contacts.

Family and household information — family composition, custody or access arrangements, languages spoken at home, and sibling relationships within the School.

Admissions information — inquiry and application forms, prior school reports, teacher or principal references, assessment results, interview notes, and supporting documentation submitted during the application process.

Learning records — attendance, report cards and assessments, IB Primary Years and Middle Years Programme documentation, portfolios and learning documentation, individualized learning plans, psychoeducational assessments where shared with us, and records relating to student conduct.

Health and wellbeing information — allergies, medical conditions, medications, immunization details, dietary requirements, accessibility needs, physician contact details, and health card information where required.

Financial information — tuition account details, payment method information processed through our payment providers, financial assistance applications, and donation history.

Employment information — resumes and applications, references, qualifications and certifications, criminal record and vulnerable sector check results, payroll and benefits data, and performance records.

Images, audio and video — photographs, video and audio recordings of students and community members captured at School events, in classrooms as part of Reggio-inspired learning documentation, and in our marketing materials.

Digital and technical information — website usage data, IP address, browser and device type, referring page, and portal login activity.

Certain categories — particularly health information, financial information and records about children — are treated as sensitive and are handled with correspondingly stronger controls.

How We Collect Personal Information
Most of the information we hold comes directly from you: through inquiry and application forms, admissions interviews, enrolment and re-enrolment paperwork, medical and consent forms, portal updates, event registrations, donation forms, and correspondence with School staff.

We also receive information from other sources where it is reasonable and lawful to do so, including:

  • Previous schools, referees and assessment providers during the admissions process

  • Healthcare professionals, with your consent, where a student requires accommodation or medical support at School

  • Background check providers, for staff, contractors and certain volunteers

  • Publicly available sources, in the context of advancement and alumni relations

  • Our website and portal platforms, which record technical usage data automatically

Where you provide us with information about another person — a second guardian, an emergency contact or a referee, for example — we rely on you having the authority to share it with us.

Why We Collect and Use Personal Information
The School uses personal information to run its educational program and its business operations. Specific purposes include:

  • Assessing applications and making admission decisions

  • Enrolling students and administering re-enrolment

  • Delivering the IB PYP and MYP curriculum and documenting student learning

  • Supporting student wellbeing, accommodations and individualized learning

  • Keeping students safe, including administering medication, managing allergies and responding to emergencies

  • Operating co-curricular programs, athletics, the house system, field trips and before/after care

  • Communicating with families about schedules, events, closures, safety matters and School news

  • Billing tuition and fees, administering financial assistance, and processing donations

  • Recruiting, hiring and managing faculty and staff

  • Maintaining alumni connections and the archival history of the School

  • Promoting Richland Academy through our website, publications, digital prospectus and social media

  • Meeting legal, regulatory, insurance and audit obligations

Some communications are operational rather than optional. Messages about closures, safety, health matters, schedules and account balances are sent to all current families regardless of marketing preferences, because families need them.

Consent and Your Choices
In most cases we collect personal information with your knowledge and consent, either express or implied by the nature of the interaction. Completing an inquiry form, for example, implies consent to be contacted about admission.

You may withdraw consent for optional uses at any time by contacting us. Withdrawing consent may affect our ability to provide certain services — we cannot, for instance, administer medication to a student without the necessary health information on file.

In a limited set of circumstances, Canadian privacy law permits an organization to collect, use or disclose personal information without consent — for example, where disclosure is required by a court order, where there is a risk to someone’s safety, or where information is needed to investigate a breach of an agreement. Richland relies on these exceptions only where they genuinely apply.

Photography, Video and Learning Documentation
Documentation is central to the Reggio Emilia approach. Teachers regularly photograph, record and display student work and classroom conversations to make children’s thinking visible. This material is used inside the School as part of teaching and reflection.

Separately, the School photographs and films students at events, in classrooms and around campus for use in:

  • Our website, blog and newsletters

  • Printed and digital admissions materials, including the digital prospectus

  • Social media accounts operated by the School

  • Yearbooks, displays and archival records

Parents and guardians are asked to indicate their photography and media preferences at enrolment, and those preferences can be changed at any time by writing to the School Office. We ask families to note that once an image has appeared in a printed publication or has been shared onward by a third party on social media, the School’s ability to retrieve it is limited.

We also ask families and visitors to respect the privacy of other children: photographs taken at School events should not be posted publicly if they show students other than your own without the permission of their families.

Our Website, Cookies and Analytics

Cookies and consent
richlandacademy.ca uses cookies — small files stored by your browser — to make the site work properly and to help us understand how it is used. When you first visit, a consent banner lets you accept or manage cookie categories:

  • Necessary cookies are required for basic site functionality and security and cannot be switched off.

  • Functional cookies support features such as content sharing and embedded media.

  • Performance and analytics cookies help us see which pages are visited, how visitors arrive, and where the site could be improved.

  • Advertising cookies, where used, support the delivery and measurement of our promotional campaigns.

You may change your choices at any time through the consent controls on the site, or by clearing cookies in your browser settings. Blocking some categories may affect how parts of the site behave.

Analytics
We use Google Tag Manager and Google Analytics to produce aggregate statistics about website traffic — page views, session length, general geographic region, device type and referral source. These reports are used to improve the site and to evaluate our communications. We do not use analytics data to identify individual visitors, and we do not combine it with student records.

Embedded content
Some pages include material hosted elsewhere, such as YouTube videos, an Instagram feed, Google Maps and our digital prospectus viewer. When that content loads, the provider may set its own cookies and receive technical information about your visit. Those providers act under their own privacy policies, which we encourage you to review.

Online Forms, Portals and Service Providers
Richland works with established education technology providers to run admissions, student records and family communications. Personal information you submit through these systems is stored on the provider’s platform under agreements that restrict how the information may be used.

Platforms currently used by the School include:

  • Veracross — admissions inquiry and application forms, student information records, and family portal access

  • SchoolsBuddy — event registration

  • Our parent portal — day-to-day communication with current families

  • Email and productivity platforms — used by faculty and staff for School correspondence and file storage

  • Payment and donation processors — which handle tuition and gift transactions; the School does not store complete credit card numbers on its own systems

We select vendors with attention to their security practices, data handling commitments and reputation in the independent school sector, and we give them only the information they need to deliver the service. Some providers may store or process data outside Canada, which means information could, in certain circumstances, be accessible to authorities in that jurisdiction under local law. You may contact us for more detail about where a specific system stores data.

Email Communications
Commercial electronic messages from the School — event invitations, newsletters, advancement and fundraising appeals — are sent in accordance with CASL. Every such message identifies Richland Academy, provides contact information, and includes a way to unsubscribe. Unsubscribe requests are actioned promptly.

Unsubscribing from these messages does not remove you from operational communications about your child’s education, safety or account.

When We Share Personal Information
Richland does not sell, rent or trade personal information. We share it only in the following circumstances:

  • With service providers, as described above, so they can deliver services on our behalf

  • With the International Baccalaureate Organization, where required to register students, administer programme requirements and maintain our authorization

  • With schools a student is transferring to, on request, in accordance with normal record transfer practice

  • With health authorities, emergency services or medical professionals, where a student’s health or safety requires it

  • With government bodies, regulators or law enforcement, where we are legally required or legally permitted to disclose

  • With professional advisors, such as auditors, insurers and legal counsel, under duties of confidentiality

  • Within the School community, in limited and controlled ways — for example, class lists for classroom purposes, or a family directory made available only to current families

Where a family directory or similar list is produced, families may ask to have their contact details excluded by writing to the School Office.

How We Protect Personal Information
The School applies physical, administrative and technical safeguards appropriate to the sensitivity of the information involved, including:

  • Locked storage and controlled access for paper records

  • Role-based permissions in our student information and portal systems, so staff see only what their duties require

  • Password protection, multi-factor authentication where available, and encryption in transit for our online systems

  • Confidentiality expectations for all faculty, staff, contractors and volunteers, reinforced through onboarding

  • Regular review of vendor security practices and of our own procedures

  • Prompt investigation and, where warranted, notification of affected individuals in the event of a privacy breach

No system is entirely immune from risk. If you believe your information may have been compromised, please tell us right away using the contact details below.

How Long We Keep Information
We keep personal information only as long as it is needed for the purposes described in this policy, or for as long as legal, regulatory, insurance or accounting obligations require. In practice this means:

  • Inquiry and unsuccessful application records are held for a limited period and then deleted or anonymized

  • Core academic and enrolment records are retained in accordance with Ontario record-keeping expectations for schools and the School’s own retention schedule

  • Financial and donation records are retained as required by tax and accounting rules

  • Employment records are retained for the periods set out in employment standards and pension legislation

  • Alumni and archival material may be retained indefinitely for historical purposes

  • Records held in third-party systems are deleted when a student leaves, when a system is retired, or when the vendor relationship ends, subject to the above

When information is no longer required, it is securely destroyed, erased or anonymized.

Your Privacy Rights
Subject to the exceptions permitted under Canadian privacy law, you have the right to:

  • Access the personal information the School holds about you or your child

  • Correct information that is inaccurate or incomplete

  • Ask how your information has been used and to whom it has been disclosed

  • Withdraw consent for optional uses, including marketing communications

  • Complain to us, and to escalate to the Office of the Privacy Commissioner of Canada if you are not satisfied with our response

To make a request, contact the School using the details below. We may ask you to verify your identity, and we will respond within the timelines required by law. Some information may be withheld where disclosure would reveal personal information about another individual, breach legal privilege, or fall under another recognized exception — if we withhold anything, we will explain why.

Parents and guardians may exercise these rights on behalf of their children. Older students may also be entitled to make requests on their own behalf, and the School will consider each such request in light of the student’s age and maturity.

Keeping Your Information Accurate
Accurate records matter, especially in an emergency. We ask families to review and update their contact, custody, medical and emergency information in the parent portal whenever circumstances change, and to confirm it during the annual re-enrolment process. Staff should update their records through the School Office.

Links to Other Websites
Our website links to third-party sites, including our portals, social media channels, partner organizations and the International Baccalaureate. Once you follow a link away from richlandacademy.ca, this policy no longer applies. We encourage you to read the privacy policy of any site you visit.

Changes to This Policy
Richland reviews this policy periodically and may update it to reflect changes in our programs, our technology or the law. The current version is always posted on our website, with the effective date shown at the top. Material changes will be communicated to current families through our usual channels.
